Terms of Service

1. Overview

These Terms of Service ("Terms") apply to the use of the Keepers Club website (keepers.club) and the purchase of custom-made retainers. By accessing our website, contacting us, or placing an order, you agree to these Terms.

You must be at least 18 years old to place an order, or have consent from a parent or legal guardian. These Terms apply to website visitors, individual customers, and clinics ordering on behalf of patients.

2. Our Products

Keepers Club provides custom-made clear retainers produced individually based on a valid 3D dental scan. Retainers are intended to maintain tooth position and help prevent wear caused by grinding or natural shifting.

Production is carried out by certified partner dental laboratories that comply with EU medical device regulations, use biocompatible BPA-free materials, and follow approved quality and safety protocols.

Keepers does not fabricate retainers in-house but ensures that all products meet our quality, comfort, and functional standards.

3. Ordering Process

Orders can be placed with an existing 3D scan or by requesting assistance to obtain one. Production begins only after a valid scan is received and verified.

To proceed:

• A valid 3D scan must be available.
• The customer must confirm retainers still fit properly.
• The customer must confirm no new dental work (fillings, crowns, extractions) has occurred since the scan.

If no scan is available, customers can:

• Arrange a new scan via a partner clinic (separate fee).
• Authorize Keepers to contact a clinic to retrieve an existing scan.

Keepers may delay or reject production if:

• The scan is outdated or inaccurate.
• Dental changes are suspected.
• Information is incomplete or contradictory.

If production cannot proceed due to scan validity issues, the order will be refunded in full.

4. Prices and Payment

All prices are listed in EUR including VAT.

Accepted payment methods:

• Bank transfer.
• Online payment link.
• Invoice.

Payment must be completed before production begins.

5. Order Confirmation

After payment, an order confirmation will be sent via email. If no confirmation is received within 24 hours, contact [email protected].

6. Delivery (Latvia)

• Delivery within Latvia is included in the product price.
• Delivery is made to the nearest pickup point using tracked shipping.

Products are typically dispatched within 5 business days after scan approval. Total lead time is approximately 6-10 business days, including production and shipping.

International shipping is available upon request and may include additional fees.

7. Cancellations

Orders can be cancelled within 1 business day if production has not yet started. To cancel, email [email protected]. Once production has begun, orders cannot be cancelled.

8. Returns and Right of Withdrawal

Due to the custom-made nature of retainers, the standard right of withdrawal under Latvian consumer law does not apply.

However, Keepers will resolve issues caused by:

• Manufacturing defects.
• Laboratory production errors.

We offer:

• Free remake of the product, or
• Refund if remaking is not possible.

To open a case:

• Contact us within 14 days of receiving the product.
• Provide photos and a detailed description.
• Return the product upon request.

If fit issues are caused by outdated scan data, a new scan may be required at the customer's expense.

9. Refund Policy

Refunds are granted only if:

• A manufacturing defect is confirmed, and
• Remaking is not possible or unsuccessful.

Refunds are not issued for:

• Changes in dental condition over time.
• Incorrect or outdated scan data.
• Incorrect information provided by the customer.
• Requests submitted more than 14 days after delivery.

Refunds are issued to the original payment method.

10. Breakages and Remakes

If a retainer breaks due to a manufacturing or material defect within 30 days:

• Keepers will remake the product free of charge, or
• Issue a refund if remaking is not possible.

To qualify:

• Report the issue within 30 days.
• Provide photographic evidence.
• Return the retainer if requested.

Breakages after 30 days are considered normal wear and tear.

11. Fit Guarantee

We guarantee proper fit based on the scan provided. If the fit issue is due to manufacturing deviation, we will remake the product at no cost.

12. Limitation of Liability

Keepers Club is not responsible for:

• Delivery delays caused by third-party providers.
• Zonal discomfort caused by misuse or improper storage.
• Fit issues caused by outdated scans or dental changes.

Keepers does not provide active orthodontic treatment and does not guarantee tooth correction.

13. Privacy and Cookies

Personal data is processed according to our Privacy Policy: /en/privacy-policy/

We comply with:

• GDPR requirements.
• Latvian data protection regulations.

Cookies are used for:

• essential functionality,
• analytics (with consent),
• marketing (with consent).

Preferences can be adjusted via the cookie consent banner.

14. Governing Law

These Terms are governed by Latvian law. Disputes shall be resolved through negotiation, and if necessary, through the Consumer Rights Protection Centre (PTAC) or Latvian courts.

15. Changes to Terms

We reserve the right to update these Terms at any time. The most recent version is always available on keepers.club.

Continued use of our services constitutes acceptance of any changes.
